HOW IT WORKS IN PLAIN
From the first action to a result you can explain.
Copying customers, invoices, payments and employee changes by hand creates delay and disagreement about which system owns the truth. This workflow is designed for businesses that want operational software and accounting to share authorised records without creating a fragile dependency. The aim is not to hide accounting decisions; it is to put the right information, decision and evidence together so an authorised person can move the work forward confidently.
The workflow, start to finish
- Activate the supported product connection
- Map the workspace and authorised users
- Send versioned records with source identifiers
- Process or surface exceptions without blocking either core product
- Open the linked record in the system that owns the decision
Every stage has a visible status. People can see what is ready, what is waiting and what needs correction instead of relying on a private spreadsheet or an email thread.
Information that carries forward
External type, record ID, version, origin and accounting link travel with each supported event so retries remain idempotent and loop suppression is explicit.
That continuity reduces duplicate entry and also makes correction safer: the team can follow the result back through its posting, approval and source instead of changing an unexplained total.
Controls and exceptions
Signed requests, bounded replay windows, workspace permissions, field authority and visible failed or needs-review queues protect the connection.
Plain separates drafting from privileged actions. An exception remains reviewable, with a useful explanation, rather than being silently forced through merely to complete a workflow.
A realistic example
An approved operational invoice enters Plain once, receives accounting coding and status, then returns payment state to the source system without bouncing the same event indefinitely.
The live demo uses sample business data and simulated external actions so visitors can test the internal workflow without sending a message, moving money, connecting a bank or lodging with an authority.
Connected to the rest of Plain
Current product-family foundations cover CleaningCentral and Aurao with customers, invoices, payments and permitted employee or payroll context.
Once authorised activity posts to the ledger, the same result is available to account activity, financial statements, budgets, audit history and month-end review according to the user’s role.
What to confirm before relying on it
The products remain usable when a connection is paused. Payments, payroll finalisation and provider setup still require the authorised action in their owning system.
During setup, confirm the workspace country, accounting basis, tax treatment, financial year, account mappings, approval rules and user access. Plain provides the controlled workflow; the customer remains responsible for its business decisions and professional advice.
