INVOICING & PAYMENTS

Invoicing and payments software

Create professional invoices, follow receivables and connect customer payments to your accounting records.

HOW IT WORKS IN PLAIN

From the first action to a result you can explain.

An invoice is not finished when a PDF is created. The business still needs approval, delivery evidence, reminders, payment allocation, credit handling and reconciliation. This workflow is designed for businesses that need professional invoices, reliable follow-up and a clean receivables ledger. The aim is not to hide accounting decisions; it is to put the right information, decision and evidence together so an authorised person can move the work forward confidently.

The workflow, start to finish

  1. Choose or create the customer
  2. Add quantities, prices, tax, income accounts and tracking
  3. Review and approve the draft
  4. Send the invoice through the branded email workflow
  5. Allocate payment and reconcile the bank activity

Every stage has a visible status. People can see what is ready, what is waiting and what needs correction instead of relying on a private spreadsheet or an email thread.

Information that carries forward

Customer terms, billing contact, line descriptions, account coding, tax treatment, tracking, attachments and reply-to details carry forward into the approved document and its accounting entry.

That continuity reduces duplicate entry and also makes correction safer: the team can follow the result back through its posting, approval and source instead of changing an unexplained total.

Controls and exceptions

Drafts can be edited; approved documents keep an audit trail; credits and voids preserve the original; reminders are staged so the same notice is not sent repeatedly.

Plain separates drafting from privileged actions. An exception remains reviewable, with a useful explanation, rather than being silently forced through merely to complete a workflow.

A realistic example

A $2,970 office-services invoice is approved, delivered to the customer portal, paid online or by bank transfer, allocated to the open balance and matched during reconciliation.

The live demo uses sample business data and simulated external actions so visitors can test the internal workflow without sending a message, moving money, connecting a bank or lodging with an authority.

Connected to the rest of Plain

Invoices created from supported CleaningCentral or Aurao work retain their external record link and status. Plain remains the source of truth for accounting coding, posting and receivables reporting.

Once authorised activity posts to the ledger, the same result is available to account activity, financial statements, budgets, audit history and month-end review according to the user’s role.

What to confirm before relying on it

Online payment requires the workspace to complete Stripe Connect activation. The demo records a simulated result and never moves money or sends a real message.

During setup, confirm the workspace country, accounting basis, tax treatment, financial year, account mappings, approval rules and user access. Plain provides the controlled workflow; the customer remains responsible for its business decisions and professional advice.
