HOW IT WORKS IN PLAIN
From the first action to a result you can explain.
Bills are easy to pay twice, code incorrectly or approve without context when the document, request and payment are separated. This workflow is designed for teams that receive supplier invoices or reimburse staff and need evidence before money leaves the business. The aim is not to hide accounting decisions; it is to put the right information, decision and evidence together so an authorised person can move the work forward confidently.
The workflow, start to finish
- Upload a supplier document or enter the bill
- Review extracted supplier, date, reference and line information
- Code accounts, tax, branch or project
- Route the bill or expense to the right approver
- Prepare payment and reconcile the settlement
Every stage has a visible status. People can see what is ready, what is waiting and what needs correction instead of relying on a private spreadsheet or an email thread.
Information that carries forward
The original file, supplier record, duplicate checks, coding, tax, tracking, comments and decisions remain attached from capture through payment.
That continuity reduces duplicate entry and also makes correction safer: the team can follow the result back through its posting, approval and source instead of changing an unexplained total.
Controls and exceptions
Approval rules can respond to value or responsibility. Duplicate review, payment status, change history and role separation surface unusual activity before finalisation.
Plain separates drafting from privileged actions. An exception remains reviewable, with a useful explanation, rather than being silently forced through merely to complete a workflow.
A realistic example
A supplier PDF is read into reviewable fields, corrected by finance, approved by a manager, included in an authorised payment batch and later matched to the bank debit.
The live demo uses sample business data and simulated external actions so visitors can test the internal workflow without sending a message, moving money, connecting a bank or lodging with an authority.
Connected to the rest of Plain
Approved operational purchases can link back to their originating system while the bill, tax treatment, payable and payment evidence remain controlled in Plain.
Once authorised activity posts to the ledger, the same result is available to account activity, financial statements, budgets, audit history and month-end review according to the user’s role.
What to confirm before relying on it
Document extraction proposes information for human review; it does not silently post a bill or authorise payment. Bank execution remains a separately controlled step.
During setup, confirm the workspace country, accounting basis, tax treatment, financial year, account mappings, approval rules and user access. Plain provides the controlled workflow; the customer remains responsible for its business decisions and professional advice.
